A practical guide for weddings, quinceañeras, Sweet 16s, birthdays, and company parties in the Rio Grande Valley.

When you are planning a celebration in Harlingen, San Benito, or a nearby RGV community, price is usually one of the first things you want to know. That makes sense: you need to find something that fits your budget.

But a package name and a price do not show you what will actually arrive at your event. Before you book a traditional photo booth or a 360 photo booth, take a closer look at the complete experience.

1. Ask to see the exact setup you are booking

Ask for recent photos and videos from real events—not just a close-up of the equipment or a promotional graphic. You want to see the booth, the surrounding area, the lighting, the props, and how guests interact with the setup.

A useful question: “Can you send me a photo of the complete setup included in my quote?”

If the picture shows a backdrop, decorations, lighting, or other extras, ask which of those items are included in your package. A beautiful example may include optional upgrades.

2. For a 360 booth, look beyond the platform

A 360 platform is only one part of the experience. You are booking something for a celebration, so think about how the whole area will look and feel in your venue.

Does the setup look inviting and festive? Are the props clean, coordinated, and appropriate for your guests? Does the presentation complement your wedding, quinceañera, birthday, or company party?

There is nothing wrong with choosing a simple setup if that is what you want. The key is knowing what you are getting. A lower price does not automatically mean a poor experience, and a higher price does not automatically guarantee a more complete one.

  • Ask for a wide photo showing the entire booth area.
  • Request a sample finished video from an actual event.
  • Confirm which props, lighting, and decorations are included.
  • Ask how guests receive their videos.
  • Confirm that an attendant will operate the booth and help guests.

3. Compare the details—not just the dollar amount

Even two quotes at the same price can include different things. Put the details side by side before deciding.

  • Service time: How many hours of guest use are included? Is setup completed before that time starts?
  • Booth type: Are you booking printed photos, a selfie experience, or 360 videos?
  • Included items: Are props, an attendant, a backdrop, or lighting part of the quoted package?
  • Delivery and travel: Are there additional charges for your event location?
  • Extra time: What would another hour cost, and how is it arranged?
  • Sharing: How will guests get their photos or videos, and does the service need internet access?

4. Match the booth to your venue and guests

Tell the company your venue, event date, approximate guest count, and whether the booth will be indoors or outdoors. Ask how much space and what power access are needed, and check those requirements with your venue.

For a 360 booth, ask how the operator keeps the moving-arm area clear and manages guests waiting for their turn. If your event is outdoors, discuss weather conditions and the backup plan before booking.

5. Get the important details in writing

Your booking confirmation should identify the package, event date, location, service hours, total price, payment schedule, included items, and cancellation or rescheduling terms. If something matters to your celebration, make sure it appears in the agreement.

A message you can send before booking

“Hi! I am planning a celebration in [city] on [date]. Could you send me your package price, a recent photo of the complete setup included, a sample photo or video, and a list of any additional fees?”
